An international Project Management Consultancy and as a result of a number of recent project wins, they are actively looking for a Executive Assistant to assist in the management of their PMO.
As a Executive, your responsibility will be to proactively manage, control, and report on tender process as well as liaise with the client, consultant and contractors on the projects development process.
Key requirements of the position include, but are not limited to;
• Serve as assistant of Program Director and Deputy Program Director.
• Use a variety of software packages, such as Microsoft Word, Outlook, Power point, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases.
• Liaise with colleagues and external contacts to book travel and accommodation.
• Organize and store paperwork, documents and computer-based information.
• Maintain office systems.
• Book rooms and conference facilities.
• Attend meetings, take minutes and keep notes.
• Manage and maintain administrative budgets, as well as invoice.
• Liaise with staff in other departments and with external contacts.
• Order and maintain stationery and equipment.
• Sort and distribute incoming post and organize and send outgoing post.
• Photocopy and print various documents, sometimes on behalf of other colleagues.
• Organize Program Director's agenda.
• Make translation from Arabic to English and viceversa of all required communications.
The ideal candidate will have
• Experience of working internationally would be beneficial.
• Must have worked in the construction market.
• Degree qualification and 7 years experience, or 12 years experience overall.
• Excellent typing and computer skills.
• Excellent documentation and archiving management skills.
• Fluency in English and Arabic are essential.
• Experience in quick translation from English to Arabic and viceversa is essential.
• Be based in KSA with a transferable visa.
• Excellent verbal and written communication skills.
